Worked examples
Text-only signature for a sales role
Name Asha Patel, role Sales Manager, company Valtrinity, telephone 07700 900123, email [email protected]
A text-only signature in a table layout: Asha Patel, Sales Manager, Valtrinity, 07700 900123, [email protected].
Because the signature uses text and a table rather than pictures, email programmes are more likely to display it as intended.
Signature with a shorter block
Name Ben Carter and email [email protected] only
A short text-only signature showing the name and email address, with the empty fields left out.
Blank fields are left out, so the signature never shows an empty line.
About Email Signature Generator
An email signature sits at the bottom of your messages and tells people who you are, what you do and how to reach you. A good one is short, easy to read and consistent with your other materials. This generator asks for your name, job title, company, phone number, email address, website and social profile links, then builds a signature in one of three layouts. Stacked puts everything in a single column, side by side places your contact details next to your name, and compact fits the details onto two lines that suit a busy inbox.
The signature is written as an HTML table with the styling included, which is how most email programmes expect a signature to be built. It uses text only, so there are no pictures to host or load. Email programmes do not all show signatures in the same way, and some strip out parts of the formatting. Send a test message to yourself, then open it on a phone and in the webmail programme your contacts use. Keep the signature to four or five lines so it reads well on small screens.

Frequently asked questions
Can I add a logo or photo to my signature?
This generator makes text-only signatures, so it does not include a logo or photo. Pictures need to be hosted online, and many email programmes block images by default, so a text signature is more dependable. If you want a logo, add it in your email programme's own signature settings after pasting the code, and check how it looks in a test message.
Why does the preview look different in my email programme?
The preview is a close guide to the layout, but every email programme handles spacing, fonts and colours a little differently. Webmail, desktop programmes and phone apps can all show the same signature in slightly different ways. Send yourself a test message in each programme your contacts use, and adjust the details if the result looks cramped or broken.
Which layout should I choose?
Stacked is the most traditional choice and works well for most people. Side by side suits a signature with lots of contact details, because the name sits on the left and the details run down the right. Compact is the best choice for busy inboxes or for people who reply often, as it takes up the least space above the message.
Do I need to add links to every social profile?
No. Add only the profiles you want people to find, as too many links make a signature harder to read. Each link needs a full address such as linkedin.com/in/yourname, and the tool adds the https:// prefix for you if you leave it out. If you leave a box empty, that link does not appear. Most people find that one or two profiles are enough.
How do I add the signature to my email?
Copy the HTML from the box, then open your email settings and look for the signature section. Many programmes offer a rich text box there, so you may need to paste the signature into it or use an option that accepts HTML code. Check your email provider's help pages for the exact steps, and send a test message to confirm the signature appears as intended.
